GEB 3213: Negative Business Letter

Assignment Scenario: Your company’s owner is excited about engaging in a philanthropy initiative, so she has told some people about it. Consequently, word has gotten out, and she has been contacted by a local nonprofit hoping to benefit from your company’s generosity. She asks you to write a letter to reply, “no,” to the donation request from a local hunger charity, the
South Florida Hunger Coalition (notice it’s a real organization, so you can research it).

Content: Read the scenario carefully and use purpose, audience analysis, and your critical thinking skills to
determine which content should be included. REMEMBER: Provide explanation/reasons and be clear; be respectful and be fair. ADDITIONALLY, think carefully about
how you say it—phrasing and organization. Remember that your purpose is to deny the request but keep good will with a potential client.

MAKE SURE YOU CLEARLY UNDERSTAND YOUR ROLE AND WHO YOU ARE WRITING TO. REMEMBER WHY YOU ARE WRITING THIS LETTER.

Organization: The letter should follow the indirect organizational structure.

(1) Buffer

(2) Reasons

(3) Negative news

(4) Goodwill close

Length: No more than 1 complete, single-spaced page (approximately 350-450 words).

Format: Since this message is somewhat formal, to an external audience, and without time constraints, you are sending a letter. Use a letterhead of your choice that matches with the content and consider ways to make format user friendly.

Letter should be single spaced, with greeting and complimentary closing. Use 3-4 paragraphs. See document provided for format in assignment.

Mechanics: Remember to carefully review and revise your document for appropriate word choices and correct spelling, punctuation, and grammar.
